The ScreenCloud Microsoft SharePoint Feed pulls News posts from a SharePoint site and turns them into posts on your screens, so company updates and announcements reach your audience without any extra design work.
About this Feed
Leverage Your Existing SharePoint Content
Already using SharePoint to share company news? Extend that same content to your screens without creating anything twice or disrupting how your team already works.
One Source, Always in Sync
Publish a News post in SharePoint once, and it updates across every screen showing the Feed automatically, so there's never a second copy to maintain.
No Design Work Needed
Your screens automatically format each News post to fit the display, so there's no manual layout work. Use AI Instructions to control which posts come through.
Setting Up the Microsoft SharePoint Feed
Adding the Feed to a Collection
In your Collection:
Click the Feeds tab, then Add New Feed.
Select Microsoft SharePoint from the list of sources.
Click Add connection to sign in with a Microsoft account, and approve the permission request when prompted. Once you're signed in, the connection is saved, so you can reuse it to set up additional SharePoint feeds without signing in again.
Select the SharePoint site you want to pull News posts from.
Optional: add an AI instruction to shape how incoming posts are handled.
Once everything's filled in, click Save new feed.
Each feed connects to a single SharePoint site. If you want to display posts from more than one site, set up a separate feed for each one — see Single Source Limit in Connecting Feeds to Your Screens.
Editing a Saved Feed
Once a SharePoint feed has been saved, the site selection can't be changed from the feed's edit screen. To pull from a different site, create a new feed instead.
Adding to a Screen
For the Collection that has your Microsoft SharePoint Feed, assign it to a paired screen:
Open your Collection and select the Screens tab.
Click Connect a screen, and select the paired screen you want to display it on.
It will play in the Main zone of the screen, provided the screen already has a Layout assigned.
To learn how often the SharePoint content will appear on screen, see Automated Playback and Content Rotation in Creating Collections for Your Screens. For the general steps that apply to any Feed source, see Setting Up and Connecting a Feed.
Microsoft SharePoint Account Requirements to Connect to ScreenCloud
Connecting requires signing in with a Microsoft account that has access to the SharePoint site you want to display. During sign-in, the Feed requests the following Microsoft permissions:
Permission | What it's for |
Keeps the connection active and refreshes access without needing you to sign in again.
Grants access to your basic profile information.
Used for secure sign-in through Microsoft's identity system.
Allows the Feed to see your email address.
Lets the Feed read your account information, such as your name and contact details.
Allows the Feed to read content across all SharePoint sites you have access to.
If your organization restricts outbound network access, your IT team may need to whitelist certain domains before the Feed can connect. See the Microsoft entry in Domains & Servers to Whitelist for ScreenCloud for the specific domains required.
What Content Does the Feed Pull from Your SharePoint Site?
The Feed only pulls News content from your SharePoint site; other content types aren't supported.
Post types
Only News posts are supported. News links, a separate post type in SharePoint that points to an external or internal URL, aren't supported and won't come through.
Text
The post's body text is limited to 255 characters, taken from the Page details field of the News post. Check Page details while creating or editing a post to see exactly what text will display.
Images
Only the News post's Banner image is used. If a post relies on an image pulled in automatically from a template, that image isn't picked up; upload or select a specific image for the banner instead.
Post age limit
The Feed only pulls in posts from the last 30 days. This is a limitation of the Microsoft SharePoint API rather than a ScreenCloud setting, so it can't be extended.
Preparing News Posts in SharePoint for Digital Signage
Since the Feed only pulls News posts, and only a limited set of fields from each one, it's worth keeping a few things in mind when your team creates a SharePoint post that's meant to appear on screen:
Create it as a News post. Use the News section on your team or communication site, or click +New, then News post. You can also turn an existing page into a News post by clicking Promote, then Post as News on this site.
Add a banner image directly to the post. A template-assigned image won't display, so upload or select one yourself.
Keep the Page details description under 255 characters. That's the only text pulled through to the screen.
Managing What Shows on Screen
Once the Feed is connected, you have several ways to control which SharePoint posts end up on screen, and to review or adjust them afterwards.
Filtering Incoming Posts with AI Instructions
Use AI Instructions to control what comes through from the site before it reaches your screens. Write your own instruction or choose from the built-in templates to rewrite, filter, or translate posts as they arrive. For a SharePoint site, this could mean:
"Only show posts related to company-wide announcements."
"Filter out routine updates, keep only leadership communications."
"Summarize long news posts into a single screen-friendly line."
"Translate incoming posts from English to Spanish."
You can test an instruction against your existing SharePoint posts before saving it, to see exactly which posts it would show or hide.
Managing Posts After They've Arrived
From the Collection's Posts view, you can manage individual posts the Feed has already created:
Hide a post to temporarily remove it from rotation without deleting it.
Show a hidden post again to bring it back into rotation.
Delete a post to remove it permanently.
Since the Feed only reads posts from SharePoint, none of these actions change or remove the original post in SharePoint, the connection is read-only.
Finding and Previewing Feed Posts
Every post the Feed creates appears in the Collection's Posts view alongside your manual posts, where you can filter the view by Feed of origin to see only the posts pulled in from SharePoint. Each post also has its own Preview option, so you can check exactly how it'll look on screen before it plays.
See Connecting Feeds to Your Screens and Creating Posts for Your Screens for the full set of options available on posts created from a Feed.
Changing How Your Feed Appears on Screen
Posts created by the Microsoft SharePoint Feed pick up the Theme applied to the screen they play on, including its colors and text styling. See Creating a Theme for Your Screens for how to customize the look of your posts.
FAQ
Can I share a regular SharePoint page, not just a News post?
Yes. Open the page, click Promote, then select Post as News on this site to turn it into a News post the Feed can pick up.
